Tasks & Activities

TaskPro and the CRM share the same activity system. Tasks, meetings, calls, appointments, and events created anywhere in the app appear in the same unified list.


Activity types

Type Use for
Task To-do items, follow-ups, internal work
Meeting Scheduled meetings (in-person or virtual)
Call Outbound or inbound calls
Appointment Client appointments with specific time slots
Event Conferences, demos, product launches

Creating a task

  1. Go to TaskPro → Tasks (or CRM → Activities).
  2. Click + New Task and select the type.
  3. Fill in: Title (required) and Start Date/Time (required).
  4. Link to a Contact or Deal (at least one required).
  5. Optionally set: end time, description, priority, status, assigned user/group, tags, and reminders.
  6. Click Save.

Task fields

Field Description
Title Short description (max 150 chars)
Start Date/Time When the task begins
End Date/Time When the task ends
Description Agenda, instructions, or additional context
Priority None / Low / Medium / High / Urgent
Status Open / In Progress / Completed / Cancelled / No Show
Assigned To User responsible
Assignment Group User group responsible
Contact Linked CRM contact
Deal Linked CRM deal
Tags Labels for filtering

Priority levels

Level When to use
None No urgency
Low Nice to do, not time-sensitive
Medium Standard work item (default)
High Important — do not delay
Urgent Needs immediate attention

Statuses

Status Meaning
Open Scheduled, not yet started
In Progress Being worked on now
Completed Done
Cancelled Will not proceed
No Show Contact did not attend (for meetings/appointments)

Reminders

Add one or more reminders to get notified before the start or end time:

  1. On the task form, click + Add Reminder.
  2. Set how many minutes before the start (or end) to send it.
  3. Reminders appear as in-app notifications.

Time logs

Track time spent on a task:

  1. Open the task detail page.
  2. Click + Log Time.
  3. Enter start time, end time or duration, and an optional note.

Time logs are useful for billing, reporting, and capacity planning.


Comments and documents

  • Comments — add notes or updates visible to all users with task access.
  • Documents — attach files from the file library or upload directly.

Filtering and views

Filter the task list by:

  • Activity type
  • Status and priority
  • Assigned user or group
  • Due date range
  • Contact or deal
  • Tags

Use My Tasks to see only tasks assigned to you.


Tips

  • Create tasks directly from a Deal or Contact record — they link automatically.
  • Use Automations to create tasks when a deal reaches a specific pipeline stage.
  • Tasks due today appear in the Dashboard activity widget for a quick daily overview.
