Sales Orders & Delivery Challans
Between a quotation and an invoice, YSUITE offers two intermediate documents: Sales Orders for a confirmed but not-yet-invoiced order, and Delivery Challans for dispatching stock without invoicing yet.
Requires the MoneyPro module.
Sales Orders
A Sales Order confirms a customer's order — useful when there's a gap between confirming a sale and fulfilling or billing it.
- Go to Sales Orders → + New Sales Order, or convert an accepted quotation directly into one.
- Add line items, quantities, and pricing.
- Save.
Converting a sales order
- Convert to Invoice — when ready to bill.
- Convert to Delivery Challan — when dispatching stock ahead of invoicing.
- Both support bulk conversion, for converting several sales orders at once.
Cancelling
Cancel a sales order that won't proceed; undo cancel to reverse that if needed.
Delivery Challans
A Delivery Challan records goods dispatched to a customer, moving stock immediately without raising an invoice.
- Go to Delivery Challans → + New Delivery Challan, or convert a sales order into one.
- Add the items being dispatched.
- Save — stock reduces immediately.
Converting to invoice
Convert to Invoice once you're ready to bill for the dispatched goods — individually, or in bulk across several challans.
Content overrides
Both document types support a content override — adjust terms, notes, or header/footer text on an individual document without changing the shared template everyone else uses. See Document Templates.
Tips
- Use a Sales Order when a customer has confirmed but delivery or billing will happen later — it gives you a document to track against without inflating your invoice register early.
- Delivery Challans are what keeps "dispatched but not invoiced" visible in your stock and reports — see Stock Adjustments.
