Recording Payments
Payments in YSUITE are recorded against the document they settle — an invoice for money coming in, a bill for money going out — and post to your chosen cash or bank account automatically.
Requires the MoneyPro module.
Payments received
- From an invoice, or from Payments Received → + New Payment, mark the invoice as paid.
- Choose the payment mode and the account the money landed in.
- If the customer has other unpaid invoices, you can see them from the same screen when recording a payment.
- Save.
Unapplied or advance payments can be recorded and applied to a future invoice rather than needing to match an invoice immediately.
Payments made
- From a bill, or from Payments Made → + New Payment, mark the bill as paid.
- Choose the payment mode and account.
- See the vendor's other unpaid bills from the same screen if there are several to settle at once.
- Save.
Payment modes
Configure the payment modes your business accepts — cash, card, bank transfer, and so on — under Settings → Accounting → Payment Modes. Modes can be toggled active/inactive.
Tips
- Record payments as they happen rather than in a batch at month-end — outstanding balances in reports and dashboards are only as current as your last recorded payment.
- Use the unpaid-invoices/unpaid-bills lookup when settling several documents for the same customer or vendor at once, rather than opening each one individually.
