Items & Categories
The item is the product or service master record used across every sales and purchase document in YSUITE.
Requires the MoneyPro module.
Adding an item
- Go to Items.
- Click + New Item.
- Fill in the item name, selling price, purchase price, and applicable tax.
- Optionally set a reorder point, add images and documents, and assign it to a category.
- Save.
Item drill-downs
From an item's detail page, drill into every document it has appeared on: sales, purchases, credit notes, debit notes, estimates, delivery challans, and goods receipts — a complete transaction history per item, without leaving the item record.
Serial numbers and batches
If the item is tracked individually, its detail page shows a serial number timeline per unit. If it's tracked by batch/lot, it shows batch history — see Batch & Serial Tracking.
Stock update history
Every change to an item's quantity — sale, purchase, adjustment, or audit reconciliation — appears on its stock update history, so you can see exactly what moved its quantity on hand and when.
Bulk actions
Select multiple items to:
- Bulk upload a new catalogue, or export the current one, via spreadsheet.
- Bulk update status (active/inactive).
- Bulk tag items.
- Bulk set category.
- Bulk set reorder point.
Categories
Organise items into a category tree under Items → Categories. Each category shows the items and item groups filed under it.
Item groups
Use Item Groups when a product comes in variants — e.g. size or colour — that should be managed and reported together while still being distinct items on a document.
Tips
- Duplicate items are flagged automatically when adding or importing, so you can catch a re-entered SKU before it splits your stock history in two.
- Set a thumbnail image on frequently sold items — it appears throughout document line-item pickers, making the right item easier to spot.
