Purchase Bills & Debit Notes
Purchase Bills record what you owe a vendor; Debit Notes record a reduction against a bill — a return or a billing correction.
Requires the MoneyPro module.
Purchase Bills
- Go to Bills → + New Bill, or convert a Goods Receipt into one.
- Add line items, matched against the purchase order and goods receipt where applicable.
- Save.
See every payment recorded against a bill from its detail page. Cancel a bill that shouldn't stand, or undo cancel to reverse that.
Debit Notes
- Go to Debit Notes → + New Debit Note.
- Select the vendor and the open bill it relates to.
- Add the line items or amount being debited.
- Save.
Applying and refunding
- Apply credits — reduce a future bill by the debit note's value.
- Mark as refunded — record that the vendor paid the amount back directly instead.
See a debit note's linked payments from its detail page, and cancel/undo-cancel as needed.
Tips
- Match a purchase bill against its goods receipt before approving payment — it's the check that you're paying for what actually arrived.
- Use the vendor's open-bills lookup when raising a debit note, the same way you would when raising a customer-side credit note.
