Reimbursements & Bonuses
Two separate workflows — expense reimbursement and bonus assignment — both feed into the payroll period they belong to.
Requires HR Admin access and the HRMS module. Employees submit claims and view bonuses from My HR.
Reimbursements
Categories
Configure claim categories — for example Travel, Meals, or Internet — under HR Admin → Reimbursement → Categories. Categories can be toggled active/inactive without deleting past claims made under them.
Submitting a claim
- From My HR → My Reimbursements, employees start a claim, choosing a category and amount, and attach a receipt.
- Save it as a draft to finish later, or submit it directly.
- A saved draft can still be edited or submitted later; once submitted, it moves to the approval queue.
Approving claims
HR Admin reviews submitted claims from the Reimbursement Approval Queue:
- Approve or reject individual claims.
- Bulk approve a batch of claims at once — useful at month-end.
Reimbursement claims are scoped to the payroll period they were submitted in, so a claim doesn't silently land in the wrong month's payroll run.
Bonuses
Bonus types
Define the bonus types your organisation pays — for example a festival bonus or a performance bonus — under HR Admin → Bonus → Types. Types can be toggled active/inactive.
Assigning a bonus
- One-off bonus — assign a single payment to an employee.
- Recurring bonus — assign a bonus that repeats on a schedule.
- Bulk assign — assign the same bonus to a group of employees in one action.
Reviewing bonuses
Assigned bonuses go through the same review pattern as reimbursements:
- Approve or reject a pending bonus.
- Revoke a bonus that was already approved but should no longer be paid.
Employees see their own bonuses under My HR → My Dashboard.
Tips
- Both reimbursements and bonuses feed directly into the payroll run for their period — approve or revoke them before calculating payroll, not after.
- Use bulk approve for reimbursements and bulk assign for bonuses when processing a large team at month-end, rather than working line by line.
