Goods Receipts
A Goods Receipt records stock as it physically arrives, closing the gap between raising a purchase order and receiving the supplier's bill.
Requires the MoneyPro module.
Recording a receipt
- Open an approved purchase order and choose to receive against it, or go to Goods Receipts → + New Goods Receipt.
- Enter the quantities actually received — in full, or partially if the delivery is split.
- Save. Stock increases immediately, before any bill has been entered.
Partial receipts
If a delivery arrives in stages, receive each shipment as it comes in — the purchase order keeps track of what's still outstanding across multiple goods receipts.
Converting to a bill
Once the supplier's invoice arrives, convert the goods receipt into a Purchase Bill — the received quantities carry over automatically, so you're not re-entering the line items.
Three-way visibility
For any purchase, you can see the order, the receipt(s) against it, and the resulting bill(s) together — useful for confirming you were billed for what was actually delivered, not just what was ordered.
Tips
- Record a goods receipt the moment stock physically arrives, even if the supplier's bill takes a few more days — your stock position stays accurate in the meantime.
- Use the three-way view to catch a bill that doesn't match what was actually received before it's paid.
