Organisation Settings
Organisation-wide settings apply across every user and module in your YSUITE account.
Requires admin access.
Profile
Go to Settings → General → Organisation to set your organisation's name, logo, country and tax identification number. The logo appears on printed documents unless overridden per template.
Timezone
Set your organisation's default timezone under Settings → General. This determines how dates and times are displayed and calculated across the app — attendance, activity due times, and report periods all use it.
Accounting controls
Under Settings → Accounting, set:
- Books lock date — transactions on or before this date can no longer be edited, protecting closed periods from accidental changes.
- Financial year start month — the month your accounting year begins, used by year-based reports.
Field mapping
Configure how fields map between related records (for example, how a converted document carries fields across) under Settings → General → Field Mapping.
Document sharing
Configure how documents can be shared externally (e.g. sending an invoice via WhatsApp) under Settings → General → Document Sharing. See Document Templates for the templates themselves.
Tips
- Set a books lock date at the end of each closed accounting period — it's a cheap safeguard against a well-meaning edit landing in the wrong period.
- Confirm your timezone is correct before rolling out HRMS attendance — every check-in and shift calculation depends on it.
