Stock Adjustments

Stock Adjustments correct quantity on hand for reasons outside the normal sales/purchase cycle — damage, loss, found stock, or an opening balance.

Requires the MoneyPro module.

Recording an adjustment

  1. Go to Inventory Adjustments.
  2. Click + New Adjustment.
  3. Choose the item, and enter the quantity to increase or decrease.
  4. If you need to value the adjustment, YSUITE offers an average purchase cost helper for the item.
  5. Save.

The adjustment's effective stock time is the time you record, not necessarily the moment you save it — so a back-dated correction lands in the correct period rather than today's.

Stock movements from other documents

Adjustments are one source of stock movement, but not the only one. Every document in the sales and purchase cycle posts its own movement:

  • Delivery challans reduce stock the moment goods are dispatched — even before an invoice is raised.
  • Goods receipts increase stock the moment goods are physically received — even before a supplier bill arrives.
  • Invoices, sales orders, purchase bills, credit notes and debit notes all move stock as part of their normal lifecycle.

This means the "dispatched but not yet invoiced" and "received but not yet billed" states are both visible in your stock position, not hidden until the paperwork catches up.

Opening stock

Setting an opening balance for an item posts a proper opening stock journal, so your very first recorded quantity is auditable the same way as every later movement.

Tips

  • Use the average purchase cost helper when adjusting down for damage or loss, so the write-off is valued consistently with the rest of your stock.
  • For a full physical count rather than a one-off correction, use Inventory Audit instead — it's built for reconciling many items at once.
