Invoices

Invoices are the primary billing document in MoneyPro. Create and send professional invoices, track payment status, and apply payments or credit notes.

Requires the MoneyPro add-on.


Creating an invoice

  1. Go to MoneyPro → Invoices.
  2. Click + New Invoice.
  3. Select the Contact (customer).
  4. Choose a Document Template (controls the print/PDF layout).
  5. Add Line Items — select from your item library or type manually.
  6. Set the Invoice Date and Due Date.
  7. Optionally add: reference number, billing/shipping address, notes, terms & conditions.
  8. Click Save.

Line items

Each line on an invoice can be:

Item type Use for
Item A product or service from your item library
Header A section heading (not priced)

Per line you can set:

  • Quantity and Unit Price
  • Discount — fixed amount or percentage
  • Tax — select a configured tax rate

Invoice statuses

Status Meaning
Open Issued but not yet fully paid
Paid Fully settled
Cancelled Voided — cannot be edited

Applying a payment

  1. Open the invoice detail page.
  2. Click Record Payment.
  3. Choose the payment mode (e.g. Bank Transfer, Cash) and payment account.
  4. Enter the amount and payment date.
  5. Click Save.

Partial payments are supported. The invoice moves to Paid once the full amount is settled.


Credit notes

If a customer is entitled to a refund or credit:

  1. Go to MoneyPro → Credit Notes → + New Credit Note.
  2. Link it to the original invoice.
  3. The credit is applied against the invoice's outstanding balance.

Cancelling an invoice

  • Open the invoice and click Cancel.
  • Cancelled invoices cannot be edited.
  • Use Undo Cancel to reinstate if cancelled in error.

PDF and print

  • Click Download PDF to generate a PDF using the selected document template.
  • Click Print to open the browser print dialog.
  • Custom content (header/footer overrides) can be saved per invoice via Customise Content.

Delivery note

For physical goods, you can print a Delivery Note from any invoice:

  1. Open the invoice detail page.
  2. Click Print Delivery Note.

Filtering and sorting

Filter invoices by:

  • Status (Open / Paid / Cancelled)
  • Customer
  • Date range
  • Amount range
  • Tags
  • Assigned user

Tips

  • Use Estimates to send a quote first, then convert it to an invoice in one click.
  • Link an invoice to a Deal in the CRM to track deal-to-payment in one view.
  • Set up Automations to send a WhatsApp message when an invoice is created.
