Triggers & Actions

Every automation starts with a trigger — an event in the system that kicks off the workflow. Once triggered, one or more actions are executed.

CRM triggers

Trigger Fires when...
Lead Created A new lead record is created
Lead Updated Any field on a lead is changed
Lead Status Changed The lead status changes to a specific value
Lead Stage Changed The lead's pipeline stage changes
Lead Converted A lead is converted to a deal or contact
Deal Created A new deal is created
Deal Updated Any field on a deal is changed
Deal Stage Changed The deal moves to a specific pipeline stage
Deal Won The deal moves to a stage of type Won
Deal Lost The deal moves to a stage of type Lost

Invoice Created A new invoice is created
Payment Received A payment is recorded against an invoice
Estimate Created A new estimate/quotation is created

Form Submitted A web form receives a submission

Send WhatsApp Message Sends an approved WhatsApp template to the contact
Send In-App Notification Sends a notification to a specified user or group

CRM actions

Action What it does
Create Task Creates a task linked to the triggering contact or deal
Create Lead Creates a new lead record
Update Lead Status Changes the status of the triggering lead
Update Deal Stage Moves the triggering deal to a specified stage
Assign to User Sets the assigned user on the triggering record
Add Tag Applies a tag to the triggering contact or lead

MoneyPro actions

Action What it does
Mark Invoice Payment Records a payment against the triggering invoice

Creating an automation

  1. Go to Automation.
  2. Click + New Automation.
  3. Select a Trigger.
  4. (Optional) Add Conditions to filter when the automation fires — see Conditions.
  5. Add one or more Actions.
  6. Give the automation a name.
  7. Click Save — the automation is active immediately.

Enabling and disabling

Each automation has a toggle on the automation list. Disable an automation to pause it without deleting it. Re-enable at any time.


Tips

  • Chain multiple actions in one automation — e.g. create a task and send a WhatsApp message when a deal is won.
  • For WhatsApp actions, make sure the template is Active (approved by Meta) before setting up the automation.
  • Use the Pipeline with Stages dropdown when configuring deal stage triggers to select exact stage transitions.
