Batch & Serial Tracking

For items that need traceability, YSUITE supports two tracking modes: batch/lot tracking and serial number tracking.

Requires the MoneyPro module.

Batch tracking

Enable batch tracking on an item to record stock in named batches or lots, each with its own expiry date.

  • Every purchase or opening stock entry for the item asks which batch it belongs to (or lets you create a new one).
  • Batch List (Batches) is the register of every batch, with its remaining quantity and expiry.
  • Each batch has a transaction history — every sale, purchase, or adjustment that touched it.
  • Opening batches let you set an initial batch balance when you first enable tracking on an existing item.

Batch reports

  • Batch Summary — current quantity and value per batch.
  • Batch Expiry — batches approaching or past their expiry date.
  • Batch Movement — full movement history across batches over a date range.

Serial number tracking

Enable serial tracking on an item to manage stock unit by unit rather than by quantity.

  • Each unit is recorded against a unique serial number the moment it enters stock.
  • An item's detail page shows a serial number timeline — every document that unit has moved through, from receipt to sale.
  • Serial numbers appear as a required field on relevant document lines wherever the item is transacted.

Tips

  • Use batch tracking for perishable or lot-controlled goods where expiry matters; use serial tracking for individually warranted or traceable units (electronics, equipment).
  • Check Batch Expiry regularly if you carry perishable stock — it's built to surface what needs to move before Batch Summary quietly absorbs a write-off.
