Bank Reconciliation
Bank Reconciliation reads a bank statement for you — upload a PDF or spreadsheet, and YSUITE extracts the transaction table and matches it against your own records.
Requires the MoneyPro module. Open it from Apps → Bank Reconciliation.
What it reconciles against
Bank Reconciliation matches statement lines against your cash and bank transactions — the same ledger behind Cash & Bank Accounts — rather than the general ledger. This is deliberate: it's the sub-ledger that's populated and useful for reconciliation regardless of how deep an organisation has adopted full double-entry accounting.
Importing a statement
- Choose the bank/cash account you're reconciling.
- Before uploading, request a quote — you'll see the AI credit cost of extracting the statement up front, so there's never a surprise afterwards.
- Upload the statement (PDF or spreadsheet). AI document extraction reads the transaction table, whatever layout your bank uses.
- If the extraction doesn't map columns the way you expect, use manual column mapping to correct it — remapping re-reads the same extracted table and costs nothing extra, since no new AI extraction is needed.
Matching lines
Once imported, each statement line gets one of these actions:
| Action | What it does |
|---|---|
| Link | Match the line to an existing YSUITE transaction |
| Create record | Create the missing transaction directly from the line |
| Ignore | Exclude the line from reconciliation (e.g. a bank fee you handle separately) |
| Unmatch | Undo a link and return the line to unmatched |
Use bulk accept to confirm a batch of confidently-matched lines at once, rather than working line by line.
If a line's suggested match isn't right, rematch re-runs matching against your current unreconciled transactions.
Closing the reconciliation
Once every line is handled, confirm the statement's closing balance against YSUITE's calculated balance for the account — this is the final check that the account genuinely ties out.
Managing imports
See past imports for an account under Imports, and delete an import if it was started in error.
Tips
- Request the quote before uploading if you're unsure whether the statement is worth reconciling with AI extraction — there's no commitment until you upload.
- Use manual column mapping instead of re-uploading when a statement's columns are simply in an unusual order — it's free and immediate.
