Scheduled Alerts
Most automation triggers fire the instant something happens — a record is created, a stage changes. Scheduled alert triggers are different: they fire based on time itself, checking on a schedule rather than waiting for an event.
Requires the Automation module.
Available scheduled alerts
| Trigger | Fires when... |
|---|---|
| Deal Due Alert | A deal's expected close date is approaching or has passed |
| Lead Age Alert | A lead has remained unconverted for longer than a set period |
| Activity Due Alert | A task, meeting or call's due date is approaching |
| Estimate Due Alert | A quotation's expiry date is approaching |
| Invoice Due Alert | An invoice's due date is approaching or has passed |
Building an alert automation
- Go to Settings → Automation → Create Automation.
- Choose one of the scheduled alert triggers above.
- Set the threshold — how soon before (or how long past) the relevant date the alert should fire.
- Add criteria to scope it further if needed (e.g. only deals in a specific pipeline).
- Add actions — typically a notification, an assigned task, or a WhatsApp/email message to the record's owner.
Tips
- Use Lead Age Alert to catch leads that are quietly going stale before they're lost entirely — it's the one alert here that fires on inactivity rather than an approaching date.
- Pair Invoice Due Alert with a WhatsApp or email action to send an automatic payment reminder ahead of the due date, not just after it's overdue.
