Quotations (Estimates)

Quotations — also called Estimates — let you send a priced proposal to a customer before raising an invoice. Once accepted, a quotation converts to an invoice, sales order, or delivery challan in one click.

Requires the MoneyPro add-on.


Creating a quotation

  1. Go to MoneyPro → Quotations.
  2. Click + New Quotation.
  3. Select the Contact (customer).
  4. Choose a Document Template.
  5. Add Line Items from your item library or type manually.
  6. Set the Quotation Date and Expiry Date.
  7. Optionally add: reference, notes, terms & conditions, deal link.
  8. Click Save.

Quotation statuses

Status Meaning
Open Sent to the customer, awaiting response
Invoiced Converted to an invoice
Cancelled Voided

Converting a quotation

Once a customer accepts, convert directly from the quotation detail page:

Convert to How
Invoice Click Convert to Invoice
Sales Order Click Convert to Sales Order
Delivery Challan Click Convert to Delivery Challan
Bulk convert Select multiple quotations on the list view and use Bulk Actions

Approval workflow

If your workspace has quotation approvals enabled:

  1. After creating a quotation, click Request Approval.
  2. Select the approvers from the user list.
  3. Each approver receives a notification and can approve or reject.
  4. Once all approvers have approved, the quotation status updates to Approved.

Approval workflow is configured under Settings → MoneyPro → Quotation Approvals.


Document status workflow

For teams with a formal document review process, quotations support a configurable Document Status field (e.g. Draft → Under Review → Approved → Sent). Update the document status from the quotation detail page.


Duplicating a quotation

To reuse a quotation structure:

  1. Open the quotation.
  2. Click Duplicate.
  3. A copy opens in edit mode — adjust as needed and save.

PDF and customisation

  • Click Download PDF to generate a PDF from the selected template.
  • Use Customise Content to override header/footer text per quotation.

Tips

  • Link a quotation to a CRM Deal so your sales team can track quote value against pipeline revenue.
  • Set an Expiry Date — expired quotations are flagged automatically.
  • Use Automation to notify the assigned user when a quotation is about to expire.
