Pipeline
A pipeline is the sequence of stages a deal moves through from first contact to close. You can create multiple pipelines for different sales processes (e.g. B2B Sales, Partnership, Renewal).
Pipeline and stage configuration requires Admin access and the CRM add-on.
Pipelines
Creating a pipeline
- Go to Settings → CRM → Pipelines.
- Click + New Pipeline.
- Enter a pipeline name.
- Add stages (see below).
- Click Save.
Managing stages
Each pipeline contains a set of stages. Every stage has a type:

| Open | Deal is still active and being worked |
| Won | Deal was successfully closed |
| Lost | Deal was lost or abandoned |
You must have at least one Won and one Lost stage per pipeline. Open stages can be reordered by drag and drop.
Default pipeline
One pipeline can be set as the default — it is pre-selected when creating a new deal. You can change the default at any time in pipeline settings.
Deleting a pipeline
A pipeline can only be deleted if it has no active deals. Move or close all deals in the pipeline before deleting it.
Lead Stages
Lead stages are separate from deal stages. They represent your team's internal workflow for qualifying leads before they become deals.
Configuring lead stages
- Go to Settings → CRM → Lead Stages.
- Click + New Stage.
- Enter a stage name and set the display order.
- Mark one stage as the default — new leads are placed here automatically.
- Click Save.
Lead stages can be reordered by drag and drop. Deleting a stage moves any leads in that stage back to the default.
Brands
Brands allow you to run a multi-brand CRM within a single YSUITE workspace. Each lead and deal can be associated with a specific brand, and team members can be filtered by brand.
Common use cases
- A business that operates under multiple trading names
- An agency managing CRM on behalf of multiple clients
- A franchise with separate sales pipelines per brand
Setting up brands
- Go to Settings → CRM → Brands.
- Click + New Brand.
- Enter the brand name.
- Click Save.
Once brands are configured:
- Select a brand when creating or editing a lead or deal.
- Filter the lead and deal list views by brand.
- Assign users to specific brands for visibility control.
Forecasting and reports
Pipeline data feeds into the Dashboard widgets:
- Deal value by stage — sum of deal amounts per pipeline stage
- Deals closing this month — deals with an expected close date in the current month
- Win rate — ratio of Won deals to total closed deals over a period
These can be added as widgets from Dashboard → + Add Widget.
