Attendance & Shifts
Attendance in YSUITE tracks not just when an employee worked, but — where it matters — where they were when they checked in.
Requires HR Admin access and the HRMS module. Employees check in and out from My HR.
Shifts
Define shifts under Settings → HRMS → Shifts, then assign a shift to each employee. Attendance is evaluated against the employee's assigned shift.
Work locations (geofencing)
Work Locations let you restrict where check-in is allowed:
- Go to Settings → HRMS → Work Locations.
- Click + New Work Location and drop a pin on the map — this sets its latitude and longitude.
- Set a radius (in metres) around the pin.
- Assign one or more employees to the location.
An employee assigned to a work location can only check in from within its radius. Field staff can be assigned multiple locations; office-based staff are typically pinned to one. An employee with no assigned location has no geofence restriction.
Checking in and out
Employees check in and out from My HR → My Attendance. Each record captures the time and, where a work location applies, confirms the check-in was inside the allowed radius.
Team roster
HR Admin → Attendance → Team Roster gives managers a day-by-day view of who is scheduled, checked in, on leave, or absent across their team.
Attendance summary & report
- Attendance Summary — a rolled-up view per employee over a date range.
- Attendance Report — the detailed export, used for payroll pre-checks and audit.
Regularisation
If an employee misses a check-in/out, or needs an attendance record corrected:
- The employee submits a regularisation request from My HR → My Attendance, explaining the exception.
- It appears in the manager's or HR Admin's Regularisation queue.
- Approve or reject the request — an approved regularisation updates the underlying attendance record.
Managers see their own team's requests under My Team → Regularisations; HR Admin sees the full organisation queue.
Tips
- Attendance gaps are one of the checks run automatically before a payroll run — see Payroll Execution.
- Combine work locations with shifts so a single employee's attendance rule reflects both when and where they are expected to work.
