Salary Structures
Salary structures define how an employee's pay is broken down — basic, allowances, deductions — and feed directly into payroll.
Requires HR Admin access and the HRMS module. Changes to components and structures go through a maker/checker approval flow.
Salary components
A salary component is a single line in a pay structure — for example Basic, HRA, or a recurring deduction.
- Go to HR Admin → Salary Structure → Components.
- Click + New Component.
- Give it a name, type (earning or deduction), and — where it depends on other components — a formula.
- Save. YSUITE validates the formula before it can be used in a structure.
Components can be cloned, given a change history, and — like structures — proposed and approved through maker/checker rather than edited directly.
Salary structures
A salary structure groups components into a complete pay template.
- Go to HR Admin → Salary Structure → Structures.
- Click + New Structure, add components, and set amounts or formulas per component.
- Use Preview to see a sample payslip calculation before saving.
- Activate the structure once it's ready to assign to employees.
Structures can be cloned to create a variant, and are versioned — changing an active structure creates a new version rather than silently altering pay for employees already on it.
Maker/checker approval
Changes to salary components and salary structures don't apply immediately:
- A user with edit access proposes a change.
- A different, authorised user approves or rejects it from the pending-changes queue.
- Every proposal and decision is recorded in the component's or structure's change history.
This applies to component creation and edits, and to structure creation and edits — payroll-affecting configuration always has a second reviewer.
Assigning a structure to an employee
Assign a salary structure to an employee from their employee record. You can see every employee currently on a given structure from HR Admin → Salary Structure → Structures → [structure] → Employees.
Tips
- Validate a formula with the Validate Formula action before saving a component that depends on another — this catches a broken calculation before it reaches a payslip.
- Review the pending changes queue regularly if you're a designated approver — payroll can't run correctly on a structure stuck awaiting approval.
