A subscription (also called a licence) allows a specific number of users to access a particular YSUITE module for the duration of the billing period. You purchase subscriptions per product and assign them to users from the Control Panel.

Log in to YSUITE, open the Control Panel, and click "Purchase Subscription." Select the products and user count you need, choose a monthly or annual billing cycle, and complete the payment. Subscriptions are activated immediately.

Yes. Each YSUITE module is available as a standalone subscription. You only pay for the modules your team actually uses. You can mix and match — for example, subscribing to CRM and MoneyPro for your sales team while adding WhatsApp only for support staff.

After purchase, the subscription must be assigned to individual users. Go to Control Panel → Manage Subscriptions and link the licence to the relevant users. The product will become available to them immediately.

Go to Control Panel → Manage Subscriptions. You'll see all active subscriptions along with their start dates, expiry dates, and assigned users.

Your data remains intact and safe. Affected users will have read-only access — they can view records but cannot create or edit until the subscription is renewed. We recommend renewing before expiry to avoid any interruption.

Yes. Annual subscriptions are offered at a reduced rate compared to month-to-month billing. The exact discount is shown at checkout when you select the annual billing cycle.

YSUITE accepts major credit and debit cards, UPI, and net banking (availability may vary by region). All payments are processed securely through our payment gateway.

YSUITE CRM covers contact and company management, lead tracking, deal pipelines, activity logging (tasks, calls, meetings, notes), email integration, WhatsApp messaging, custom fields, document attachments, and multi-brand support — all within a single module.

Yes. YSUITE CRM supports CSV and Excel import for contacts, companies, leads, and deals. The import wizard lets you map columns from your file to the correct CRM fields, including custom fields you've created.

You can create multiple sales pipelines, each with custom stages tailored to your sales process. Deals can be moved between stages via drag-and-drop on the Kanban board or updated in list view. Each deal links to a contact or company, tracks value, and has its own activity timeline.

Yes. Custom fields of various types (text, number, date, dropdown, checkbox) can be added to contacts, companies, leads, and deals. This lets you capture the specific information that matters to your business.

Yes. With the WhatsApp Business Suite add-on, you can send and receive WhatsApp messages directly from any CRM contact or deal record. Conversations are logged automatically to the activity timeline.

Yes. YSUITE CRM supports multi-brand configurations within a single organisation. You can segment contacts, deals, and pipelines by brand or team and control which users have access to each segment.

Yes. CRM and MoneyPro are natively integrated. You can create invoices, estimates, or sales orders directly from a contact or deal record in CRM, and all financial documents linked to that contact appear in its timeline.

MoneyPro is YSUITE's financial management module. It handles invoicing, estimates, sales orders, purchase orders, bills, credit notes, debit notes, payment recording, multi-currency support, and double-entry accounting — all integrated with your CRM contacts.

Yes. You can set a base currency for your organisation and issue invoices, estimates, and purchase orders in any other currency. Exchange rates can be set manually or configured per document.

Yes. MoneyPro includes a template builder for all document types — invoices, estimates, sales orders, purchase orders, credit notes, and more. You can add your logo, brand colours, custom columns, terms and conditions, and footer notes.

Yes. Each invoice in MoneyPro has a payment status (Draft, Sent, Partially Paid, Paid, Overdue). You can record payments against invoices, set due dates, and get an overview of outstanding receivables from the dashboard.

Yes. You can create purchase orders for your vendors, convert approved POs to bills, and track payables separately from receivables. The double-entry accounting engine keeps your books accurate automatically.

Yes. Invoices can be emailed directly to contacts from within MoneyPro. You can also generate a secure shareable link so customers can view and download their invoice online without needing an account.

Yes. You can configure any number of tax types (GST, VAT, service tax, etc.) with custom rates and apply them at the line-item or document level. Tax summaries are shown clearly on every document.

TaskPro is YSUITE's task and team management module. It lets you create tasks, assign them to team members, set due dates and priorities, track progress, log time, schedule meetings and calls, and collaborate through comments and file attachments.

TaskPro is focused on day-to-day work tracking — quick tasks, recurring work, team to-dos, and activity logs. The Projects module is designed for structured, multi-phase projects with milestones, timelines, dependencies, and Gantt-style planning. They work well together for different levels of work.

Yes. Tasks in TaskPro can be set to recur on a daily, weekly, monthly, or custom schedule. Recurring tasks are automatically created according to the defined frequency.

Yes. Team members can log time against individual tasks. Time entries include a description, duration, and date. Managers can view time logs per task or per user for reporting purposes.

Yes. TaskPro can send email and WhatsApp notifications when tasks are created, assigned, updated, commented on, or completed — keeping your team and customers informed automatically.

Go to Control Panel → Users, invite your team members, and assign each an active TaskPro subscription. You can also configure role-based permissions to control what each user can create, edit, or view.

The Projects module in YSUITE is designed for structured project delivery. It supports project phases, milestones, task dependencies, team assignments, file management, client collaboration, and progress tracking — giving you a complete view of every project from kickoff to closure.

Yes. You can share a read-only project view with external stakeholders or clients using a secure link, keeping them updated on progress without giving them access to your full YSUITE account.

Yes. You can set predecessor-successor relationships between tasks so that dependent tasks are flagged or blocked until their prerequisites are complete.

Yes. Projects supports budget tracking with planned versus actual cost comparisons. When integrated with MoneyPro, invoices and expenses linked to a project feed directly into its financial summary.

Yes. Projects tasks can be viewed in a Kanban board, list view, or timeline (Gantt-style) view. You can switch between views depending on how you prefer to manage and communicate project status.

DinePro is YSUITE's restaurant management solution. It covers table management, dine-in and takeaway order management, kitchen order tickets (KOT), a digital menu builder, staff management, and integrated billing — purpose-built for food service businesses.

Yes. You can define your floor layout, create tables with custom names or numbers, and manage their status in real time — available, occupied, or reserved. Servers can open, merge, split, and transfer tables directly from the interface.

When an order is placed or updated, DinePro automatically generates a Kitchen Order Ticket that is sent to the kitchen display or kitchen printer. Kitchen staff can mark items as prepared, keeping the floor staff and customers informed of order status in real time.

Yes. The digital menu builder lets you create categories, add items with descriptions, images, and pricing, set availability (e.g. breakfast only), mark items as veg or non-veg, and publish changes instantly — no reprinting required.

YSUITE connects to the official WhatsApp Business API (via Meta). You get a multi-agent shared inbox, pre-approved message templates, broadcast campaigns, automated conversation flows, and deep integration with CRM contacts and deals — all from within YSUITE.

You need a phone number registered with the WhatsApp Business API through Meta Business. It can be a new number or an existing one (subject to Meta's migration process). YSUITE walks you through the onboarding and verification steps.

Yes. YSUITE's multi-agent inbox lets your whole team share one WhatsApp Business number. Conversations can be assigned to specific agents, and each agent only sees conversations they are responsible for based on their role.

Message templates are pre-approved structured messages used for outbound communication — such as order confirmations, appointment reminders, invoice notifications, and follow-ups. Templates are submitted for Meta approval before use. YSUITE's template builder makes this process straightforward.

Yes. You can create a broadcast campaign by selecting a contact list and an approved template, then schedule or send it immediately. Campaign metrics (sent, delivered, read) are tracked in real time within YSUITE.

WhatsApp Flows are interactive, structured forms that run inside the WhatsApp chat. You can use them to collect customer details, take survey responses, schedule appointments, or gather feedback — without the customer leaving the app.

Yes. WhatsApp messages sent and received via YSUITE are automatically logged to CRM contact timelines. You can also trigger WhatsApp template messages from the Automation module based on CRM events, form submissions, or scheduled conditions.

The Forms module is a no-code form builder that lets you create lead capture forms, surveys, feedback forms, registration forms, and more using a drag-and-drop interface. Forms can be embedded on your website, shared via a link, or sent through WhatsApp.

The builder supports text fields, email, phone, number, date, time, dropdown, multi-select, radio buttons, checkboxes, file upload, star rating, NPS score, and section headings — giving you full flexibility to design any type of form.

Yes. The Forms module supports conditional logic — you can show or hide fields based on answers to previous questions. This creates dynamic forms that adapt to each respondent without showing irrelevant fields.

All responses are collected in the Forms module where you can view, filter, and export them. If configured, responses can also automatically create a new lead or contact in CRM, and trigger Automation workflows such as sending a confirmation WhatsApp message.

Yes. Every form has an embed code snippet that you can paste into any website or landing page. Forms are also shareable via a standalone URL that works on any device.

Yes. You can set your brand colours, upload a logo, add a custom header image, and configure the confirmation message or redirect URL that respondents see after submitting the form.

The Automation module lets you build no-code workflow rules that trigger actions automatically based on events across YSUITE. For example: when a lead is created in CRM, automatically send a WhatsApp welcome message and assign a follow-up task to a salesperson.

Automations can be triggered by events such as: record created or updated in CRM, form submission, deal moving to a specific pipeline stage, invoice sent or paid, task status changed, scheduled date/time, or a manual trigger run by a user.

Actions include: send a WhatsApp message or template, send an email, create a task, update a CRM record field, assign a record to a user, add a tag, move a deal stage, create an invoice, or trigger another automation — with more actions added regularly.

Yes. You can insert wait steps (e.g. wait 2 days after a trigger), conditional branches (if/else logic based on field values), and filter conditions so the automation only runs for records meeting specific criteria.

Yes. Automations can be saved in draft mode and tested on individual records before being activated. An automation log shows a history of each run — what triggered it, which actions were executed, and whether any step encountered an error.

Limits depend on your subscription plan. Details are shown in the pricing section. Most plans support multiple active automations with no cap on the number of records or trigger events processed per month.

Dashboards let you build custom visual reports using live data from any YSUITE module — CRM, MoneyPro, TaskPro, Projects, POS, and more. Choose from charts, KPI cards, tables, funnels, and other widgets to build the view that matters most to your team.

Yes. You can create as many dashboards as you need. Each dashboard can be personalised for a specific team or role — a sales dashboard, a finance overview, a support queue summary — and shared with the relevant users.

Available widget types include bar charts, line charts, pie/donut charts, KPI metric cards, data tables, funnel charts, gauge indicators, and goal-tracking widgets. Widgets can be resized and rearranged freely on the canvas.

Yes. Dashboards can be shared with other YSUITE users or exported as a PDF report. For external stakeholders, a read-only shareable link can be generated so decision-makers can view live data without needing a YSUITE login.

Dashboard data is refreshed in near real-time as records are created or updated across YSUITE modules. For large datasets, you can also manually trigger a refresh from the dashboard interface.

Yes. Each widget can have its own filter configuration, and dashboards also support global date range filters that apply across all widgets simultaneously — useful for comparing performance across different periods.

The Loyalty & Rewards module lets you create and manage a customer loyalty programme directly within YSUITE. Customers earn points on purchases, and you can set up tiers, redemption rules, and reward catalogues to drive repeat business and engagement.

Points are awarded automatically when a customer makes a purchase through POS, DinePro, or a linked billing module. You configure the earn rate — for example, 1 point per $1 spent — and point balances are updated in real time on the customer's profile.

Yes. You can define multiple membership tiers with custom names, thresholds (based on total points or spend), and tier-specific benefits such as higher earn rates, exclusive discounts, or priority service flags.

Points can be redeemed at the point of sale or checkout. The cashier or system identifies the customer, checks their available balance, and applies the redemption as a discount on the current transaction. You control the minimum redemption threshold and the value per point.

Yes. With the WhatsApp Business Suite enabled, you can configure automatic messages to notify customers of points earned after each purchase, tier upgrades, expiring points reminders, and special rewards — all without manual effort.

Yes. You can create time-limited promotions that offer bonus points for specific products, categories, or minimum spend amounts. Promotions are configured in the Rewards module and activate and deactivate automatically on the scheduled dates.
